Looking for an onsite, Office Administrator for an established and growing technology firm on Long Island.
Been in business for 40 years, 1 large major insurance client in Manhattan and they are in Long Island (needs to be in office regularly, WFH days can be flexible as needed), great culture and office dynamic, very fun (pizza Fridays every week, big game room) 5% match on 401k (dependent on profitability, but have made it past 15 years)
Any knowledge of or familiarity with PeopleSoft on the HR side, HR, Payroll and Benefits.
In this role, you will have various administrative tasks throughout the organization, and additionally will provide some support to the 4 Partners as well.
We are looking for an experienced full-time Office Administrator. You will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently. You will be competent in prioritizing and working with little supervision. You will need to be self-motivated and trustworthy. The office administrator ensures smooth running of our companys offices and contributes in driving sustainable growth.
Responsibilities Include:
Coordinating office activities and operations to secure efficiency and compliance to company policies
Interface with vendors, such as:
o Payroll Provider
o Bookkeepers
o Bank
o Medical/Dental/Vision Providers
o Corporate Insurance Providers
Online Banking and Bill Pay
Billing/Invoicing
Onboarding/Offboarding Paperwork
Managing Company Calendar
Coordination of Corporate Events
Office Supply Stocking and Reordering Requirements and Skills:
Proven experience as an office administrator, office assistant or relevant role
Outstanding communication and interpersonal abilities
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
o Bookkeeping experience, especially QuickBooks, a plus
Excellent knowledge of MS Office and office management software (ERP etc.)
Qualifications in secretarial studies will be an advantage
High school diploma; Bachelor's Degree is preferred
